Drag any job to reschedule — every tech's view updates instantly.

The daily grind

Sound familiar?

The call comes in while you're on a job. You scratch the address on a notepad, build a quote in Excel that night, and hope you remembered to email it. Half the time you didn't.

When the customer says yes, the job goes on the whiteboard — until someone erases it by accident, or two techs show up at the same address on the same morning.

The job gets done. Your tech texts you a couple of blurry photos. You write up the invoice three days later from a sticky-note summary, send it from your personal Gmail, and wait.

Somewhere in between, a customer called twice to ask when you're coming back. You're not sure who answered.

This isn't a people problem. It's a process problem.

Trade businesses are fast-moving — but the tools most shops rely on weren't built for this work. Spreadsheets don't know what a job status is. Group texts aren't a dispatch system. And your personal inbox was never meant to be your billing department.

The software that was built for this work? It's priced for companies with 50 trucks and an IT department — not a shop your size.

DispatchSmith was built to fix exactly this: one workflow, from the first call to the final invoice, for your whole team, at a price that makes sense for a real trade business.
One platform, the whole job

Everything it takes to run the job — in one app

No more stitching together a spreadsheet, a paper invoice book, and three group texts. DispatchSmith runs the customer, the quote, the schedule, the job, and the invoice from a single place.

Every customer's full history — right where you need it

Contacts, service properties, notes, full job history, and current balance on one screen — residential and commercial. Stop digging through email threads or calling a tech to find out what happened last year.

Win more jobs with quotes that look the part

Build a professional estimate in minutes with your logo, your brand colors, and a reusable price list — then email a polished PDF. When they say yes, convert it to a job or invoice in one click.

Schedule in seconds, not phone calls

Drag a job onto the calendar and you're done. Move it to Thursday? Drag it there. Month, week, and day views — and each tech sees exactly what's on their plate.

Your techs show up ready

Assign a job and your tech sees it on their dashboard right away — address, job details, access instructions, and photos from past visits. In the field, they capture photos straight from their phone, no install required.

Invoice before you leave the parking lot

The moment a job is marked complete, one click turns it into a branded invoice. Set your terms, email the PDF, and track every payment and balance — overdue invoices get flagged automatically.

Your whole team, one app, right access for everyone

Add every owner, office person, salesperson, and field tech — each role gets exactly the access it needs. Techs see their jobs, office staff handle billing, you stay in control. None of it costs extra per person.

Quote faster with a built-in price list

Build your products and services catalog once — labor, common repairs, materials. Type the first few letters and it fills in. No more retyping the same line items on every estimate.

Works wherever the work takes you

Desktop at the office, tablet in the truck, phone on the job site — DispatchSmith runs in any browser on any device, no download required. (A dedicated mobile app is on our roadmap.)

How it works

From the first call to the paid invoice — four steps

Everything connects. Nothing falls through.

  1. 1

    Add the customer

When a call comes in, look up the customer or create them in seconds. Add their contacts, service address, and notes. Their full history lives here from day one.

  2. 2

    Build and send the quote

Put together a professional estimate using your brand and your pricing. Email the PDF directly from the app. Once they approve, flip it to a job in one click.

  3. 3

    Schedule and dispatch

Drag the job onto your calendar and assign a tech. They'll see it on their dashboard right away. If the schedule changes, drag it to the new slot — everyone's view updates.

  4. 4

Complete the job and send the invoice

When the job is marked done, convert it to an invoice in one click. Add your payment terms, send the branded PDF, and track payments as they come in. The balance updates automatically.

Honest pricing

Full-featured field service software. Not the full-featured price.

Most field service management platforms are built — and priced — for large operations. They start at a hundred dollars or more a month, then add per-technician fees on top, then charge extra for feature modules you assumed were included. By the time a small or midsize trade shop does the math, the software costs more than it saves.

DispatchSmith is $49 a month. That's it.

Every feature. Every user on your team — owners, office staff, techs, salespeople. No seat fees, no tiers, no add-ons. It's not a lite plan or a starter edition. It's the whole platform, for one honest price, built for trade businesses that can't afford to overpay for software and can't afford to run without it.

Switching made painless

Already using another FSM platform? We'll move you over.

The biggest reason shops don't switch isn't the price — it's the thought of re-entering years of customer records. We eliminate that barrier.

When you're ready to make the move, we personally handle your migration — importing your customer data, getting your team set up with the correct roles and permissions, and making sure you're not staring at a blank screen on day one. This isn't a self-serve import wizard. It's a real person walking your business through the switch.

What we handle for you

  • One-on-one migration walkthrough — not a help doc
  • We import your customer records so you don't start from scratch
  • Your team gets set up with the right roles and access from the start
  • Your 30-day free trial starts after you're set up, not before

Questions we get a lot

Everything you're wondering before you start

No sales runaround — here's the straight answer to what trade-shop owners ask us most.

Is DispatchSmith built for my trade?
Yes — it's purpose-built for HVAC, plumbing, electrical, and similar service trades. When you create your account you'll pick your industry, and the whole workflow — quote, schedule, dispatch, invoice — is designed around how field service businesses actually run jobs. It's not a generic small-business tool with “trades” added as an afterthought.
Why does DispatchSmith cost so much less than other FSM software?
Because we built it to be used by shops your size, not licensed to enterprise contractors with IT departments. Other platforms charge $100 or more per month — then add per-user fees on top. We don't believe a 6-person HVAC shop should have to choose between good software and a reasonable overhead. $49 flat is the whole thing, no exceptions.
Do I need a credit card to start?
No. Your 30-day free trial starts without a credit card. You only need to add payment information if you decide to keep using DispatchSmith after the trial ends.
How many users can I add?
As many as your business needs, now and later. DispatchSmith is one flat price — $49 a month — with unlimited team members. Owners, office staff, salespeople, field techs. Your bill doesn't go up when you add a new hire.
How do payments work? Can my customers pay online?
Today, your team records payments inside DispatchSmith — when a customer pays by cash, check, or however you collect. The app tracks full and partial payments, keeps a running balance, and automatically flags overdue invoices. Online card payments that customers can make directly are on our roadmap and coming soon.
Does it work on my phone?
Yes. DispatchSmith runs in any browser on any phone, tablet, or computer — no download or installation required. Field techs can pull up their job details, capture photos, and update job status straight from their phone. A dedicated iOS and Android app is on our roadmap and coming soon.
Can I use my own logo and branding?
Yes. Upload your company logo and set your brand colors once — they appear on every estimate and invoice PDF you send to customers. You can also add custom contract language or a disclaimer that prints on your documents.
What's the difference between an estimate and a job?
An estimate (or quote) is what you send the customer before the work — line items, your terms, and a validity date. A job is the active work order your team executes in the field. When a customer approves an estimate, DispatchSmith converts it into a job (and then an invoice when it's done) in a single click — the customer info and line items carry through automatically, no re-entering anything.
Is my data private and secure?
Yes. DispatchSmith is a cloud-based platform where each business's data is fully isolated from every other account at the database level. Your customers, jobs, and invoices are visible only to your team.

Still have questions? Send us a note and we'll get right back to you.

Built for the trades. Priced for the trades.

I built DispatchSmith because I watched too many good shops run the whole job on a whiteboard, a stack of paper, and an invoice typed up late at night when everyone's already worn out. You shouldn't have to pay enterprise prices to get your arms around it. So I'm making one honest tool for the whole team — and building it alongside the first shops who trust me with it.
